How to Create a Professional Invoice
1. Enter Issuer & Recipient Details
Fill in your name, business address, contact info, and tax ID, along with the recipient's full address. Accurate details are required for legal validity.
2. Add Invoice Number & Date
Generate a unique, sequential invoice number (e.g. INV-2026-001) and set the issue date and the date the services or goods were delivered.
3. Detail Goods or Services Provided
Add line items detailing the quantity, unit (hours, days, pcs, flat), description of service, and unit price for each item.
4. Apply Discounts & Select VAT
Apply a percentage discount on the subtotal if applicable. Select the correct VAT rate (0% for small businesses/exempt, 7% reduced, or 19% standard VAT).
5. Print or Save as PDF

What details are legally required on an invoice?
Under tax regulations (like § 14 UStG in Germany/EU), an invoice must contain: full names & addresses of sender and recipient, your Tax ID or VAT ID, a unique sequential invoice number, date of issue, date of delivery/service, quantity & description of items, net amount, VAT rate, VAT amount, and gross total.
How long do I have to send an invoice to a client?
In many countries, you must issue an invoice within 6 months after the service is completed or the goods are delivered (especially for business clients). It is best practice to send it immediately.
What if I am a small business owner and do not charge VAT?
If you qualify for the small business regulation (e.g. § 19 UStG in Germany), you do not charge VAT (0% VAT). You must state the reason on the invoice. Selecting 0% VAT in this tool automatically adds the required legal notice to the invoice footer.
